Step 01 · Discovery

The discovery call

Everything starts with a discovery call.

We take the time to understand your business, current challenges, staffing needs, goals, work environment, preferred candidate profile, and the specific outcomes you expect from your future team member. We encourage you to be as detailed as possible — so we identify not only the required skills, but the personality traits that best fit your organization.

Step 02 · Alignment

Hiring requirements confirmation

After the call, we send a Hiring Requirements Confirmation Form — a summary of everything discussed that ensures both parties are aligned before recruitment begins.

  • Job title & responsibilities
  • Required skills & qualifications
  • Working schedule & timezone
  • Salary range & budget
  • Required software & tools
  • Reporting structure
  • Performance expectations
  • Preferred personality traits
  • Communication requirements
  • Special instructions
As part of our Transparency Campaign, the form also outlines our hiring process, onboarding, billing terms, security deposit, and client responsibilities — so there are no surprises later.
Step 03 · Recruitment

Recruitment & candidate sourcing

Once approved, our recruitment team launches the hiring campaign. During this phase we:

  • Advertise across multiple channels
  • Source from our talent network
  • Screen resumes & applications
  • Conduct initial interviews
  • Evaluate communication skills
  • Assess relevant experience
  • Verify work-from-home readiness
Typically 2–3 business days

Our investment in finding the best fit

We invest significant time, resources, and expertise before a candidate ever reaches your inbox. Our objective isn't simply to fill a position, but to find professionals with the skills, attitude, and work ethic to contribute long-term. Behind every candidate we present:

Talent Sourcing

  • Advertising across recruitment platforms
  • Accessing our internal talent network
  • Actively sourcing passive candidates
  • Referrals & professional communities

Candidate Screening

  • Resume evaluation
  • Initial qualification interviews
  • English & communication assessments
  • Experience verification
  • Work-from-home setup validation

Quality Assurance

  • Matching against your requirements
  • Assessing cultural & personality fit
  • Evaluating reliability & commitment
  • Identifying strengths & growth areas

Administrative Support

  • Recruitment coordination
  • Candidate communication
  • Interview scheduling
  • Reference & background checks
  • Candidate evaluation preparation

“Your time should be spent selecting from qualified candidates — not searching for them.”

Step 04 · Shortlist

Candidate presentation

Once screening is complete, we present our top candidates through a Candidate Evaluation Form. Each profile may include:

  • Work Experience
  • Audio or video recording
  • Tool Proficiency
  • Skills assessment results
  • Work from home set up
  • Availability
Select specific candidates to interview, or interview all recommended candidates. The final decision always remains with you.
Step 05 · Interviews

Candidate evaluation & interviews

As part of the final phase of our recruitment process, we provide you with a hands-on opportunity to meet, evaluate, and assess our top candidates before making your hiring decision. You will have the opportunity to personally gauge each candidate's communication skills, professionalism, personality, work ethic, and overall fit for your organization. This allows you to make a confident and informed hiring decision based on your own experience interacting with the candidates. You select your preferred interview dates and times, and RemoteCRW handles all scheduling, coordination, and communication with the candidates.

To help determine the type of person you'll be working with, consider asking:

  • Tell me about a challenge you recently faced and how you handled it.
  • How do you stay productive while working remotely?
  • How do you handle feedback and coaching?
  • What motivates you to perform well?
  • Describe your ideal manager.
  • How do you prioritize competing deadlines?
  • Tell me about a mistake and what you learned from it.
  • Why are you the right fit for this role?
Step 06 · Decision

Hiring decision

After completing interviews, you select the candidate you wish to hire. RemoteCRW then prepares all necessary hiring documentation and onboarding requirements.

One clear decision — and we take care of everything that follows.
Step 07 · Agreement

Service agreement & security deposit

Before onboarding begins, we complete:

  • Service Agreement execution
  • Security Deposit payment
  • Confirmation of work schedule
  • Final role approval
  • Tool access planning
The refundable security deposit helps secure the position and allows onboarding activities to begin.
Step 08 · Onboarding

Onboarding preparation

Our team handles onboarding so your selected Virtual Assistant is ready to start successfully. This includes:

  • Employment documentation
  • Contract signing with the VA
  • Policy acknowledgment
  • Client-specific requirements
  • Timekeeping setup
  • Security compliance checks
  • Communication platform setup
Step 09 · Orientation

Orientation & tool provisioning

Before deployment, the Virtual Assistant completes orientation covering RemoteCRW policies, client expectations, communication standards, confidentiality, security best practices, and reporting procedures. You then provide access to:

  • Email accounts
  • CRM systems
  • Phone systems
  • Communication platforms
  • Project management tools
  • Role-specific software
Our team assists in ensuring access is properly configured.
Step 10 · Deployment
